Why Inviton

Sound familiar?

Four situations every organizer of an international sports event runs into.

“The federation sent us a database of 2,500 people.”

Athletes, teams, officials, ski technicians, with photos and permissions. Inviton imports the database with photos and zones, so you don’t retype anything by hand.

“Hundreds of cards must be ready before the teams arrive.”

Cards are printed with a photo, name, category, QR code and marked zones. We sort team cards into envelopes by nation, and one team representative collects them at the Race Office.

“Who’s allowed in the finish area and who isn’t?”

The course has dozens of restricted-access areas. Accreditation matrix sets permissions for every group, and online scanners at each zone show green or red, no arguing at the tape.

“Journalists sign up at the last minute.”

Media register via a form on the event website, photo included. The media coordinator approves them and assigns a type — Photo, Press, Rightholder or Non-rightholder.

How it works

From the athlete database to the finish-area gate

Six steps of an accreditation process we refined at FIS World Cups.

01

Import and registration

We import the federation database with photos and permissions. Everyone else, media, staff, suppliers, registers via their own forms.

02

Accreditation matrix

You decide which zones each group may enter. Permission changes show up instantly on the card and on every scanner.

Media and VIP

Journalists and VIP guests without the chaos

The two groups that need the most attention at a sports event, each with its own process.

Media accreditation

Journalists and photographers register via a form on the event website and upload a photo. The media coordinator approves requests and assigns the accreditation type.

What sports event organisers say

World Cup, national team games, league matches and air shows.

FIS World Cup 2019

„Inviton was our partner for the FIS Alpine Ski World Cup 2019 in Špindlerův Mlýn and the event exceeded all expectations. A total attendance of 18,697 spectators was stunning and Inviton had a big share in the overall organisation. They not only ran registrations and VIP handling smoothly, but also consulted on the preparation and system setup.“

Adam Svašina
Eurobasket Qualifiers 2024–2026, men's and women's games

„When organising the Slovak national team games, Inviton makes ticketing significantly easier for us. The whole process from sales to entry control is clear and fast, so we can focus on the game itself and the fan experience.“

Samuel Pacala
Home matches, men and women 2024–2027, play-offs and finals

„Great cooperation from our side. We set up events quickly, clone matches easily and turnstile entry works without any question marks. On top of that, communication with the Inviton team is really good.“

Tomáš Jenča
SIAF 2021–2023, Košice Region Air Days 2025

„At an event as big as SIAF you need to be sure that registrations, guest lists and entries can handle the load. With Inviton we were. Everything was clear, entries were smooth and the team was ready to help whenever needed.“

Hubert Štoksa
Casa Slovacca, the Slovak house at the 2026 Winter Olympics

„When organising the Slovak Olympic house in Milan it was important for us to handle the huge interest from visitors and keep the venue capacity under control. Thanks to Inviton, visitors could quickly register for a specific day and time and received a QR code ticket straight to their email, while we always knew how many people were in the house. For the Slovak team, partners and VIP guests we also used QR wristbands with consumption credit, prepared in advance, so guests did not have to wait on arrival.“

FAQ

Accreditation FAQ

Can you import the participant database from the federation?
Yes. At the FIS World Cup we imported a database of 2,500 people with photos and zone permissions. We can also load an export from another federation’s accreditation system or from Excel.
How are zones marked on the card?
Permitted zone numbers are printed right on the accreditation card along with the photo, name, category and QR code. Security can check permission at a glance, and the scanner confirms it in real time.
How many zones and accreditation categories can the system handle?
There’s no limit. At the World Cup in Jasná we worked with 40 accreditation types and 14 zones; in Špindlerův Mlýn with 12 zones and 25 online scanners.
What if someone loses their card or their permissions change?
We block the old card and print a new one on site. Permission changes show up instantly on every scanner.
Does zone control work without internet?
Yes, temporarily. Scanners keep a synchronized database and carry on during an outage; data syncs once the connection is back.
Can you also handle spectator tickets and VIPs?
Yes. Beyond accreditation we can run online ticket sales, VIP registration via RSVP and partner guest lists, wristband exchange and car-park entry via QR code.
Do we have to use the whole system?
No. You can start with just accreditation and card printing, or just zone control. Add other modules when you need them.
